This guide explains how MyUniVote works across the institution, Electoral Committee, and student journeys, from onboarding and eligibility setup to live monitoring and final results.

What institutions need before onboarding

Institutional Charter, Act, or equivalent governing document

Accreditation or programme approval certificates

Affiliation certificate where applicable, especially for university colleges

Business registration or certificate of incorporation from the relevant corporate authority

Approved school email patterns used to verify institutional ownership

School Workflow

How institutions operate on MyUniVote

Step 1

Register the institution

The school begins by submitting its registration details together with the required institutional documents and approved email patterns.

Step 2

Access the school dashboard

Once approved, the institution signs in to the school account and manages election operations from the main dashboard.

Step 3

Upload the student register

The school uploads students as a spreadsheet. The file should include standard student information together with nationality, faculty, and email columns.

Step 4

View the assigned election plan

Commercial terms are handled privately before onboarding, so the institution's assigned election plan is expected to appear automatically after setup.

Step 5

Promote students to the Electoral Committee

The school can appoint up to five students as EC members by searching for a registered student by name or ID and promoting that student to EC.

Step 6

Monitor live analytics

The school retains oversight through the analytics view, where election activity and institutional reporting are displayed from the dashboard.

How EC members create and monitor elections

EC Step 1

Operate as privileged student administrators

EC members must already exist in the uploaded student register and receive their operational privileges from the school.

EC Step 2

Create targeted elections

EC can create elections for all eligible students by default or narrow the audience by faculty or nationality. They also define the election date and time, upload aspirants and photos, then save the setup as a draft or schedule it.

Edit before activation

Scheduled elections remain editable until the election becomes active.

EC Step 4

Monitor once voting starts

When an election is active, EC moves into a read-only monitoring view that shows live voting analytics.

EC Step 5

Track live polls and final results

Open polls update live for each position and aspirant. Closed reports become the final election results.

EC Step 6

Vote and review shared activity

EC members can also cast their own votes and can see administrative activity across the EC team through the admin activity view.

Student Voting Workflow

How regular students participate in elections

Student Step 1

Access only eligible elections

Non-EC students must exist in the uploaded school register and will only see elections whose faculty or nationality criteria they satisfy.

Student Step 2

Vote in active elections

Eligible students can open the available election and cast votes in the positions presented to them.

Student Step 3

Follow live and closed results

Students can view live poll movement while elections remain open, and can later review the final closed results once the election ends.

Access and Visibility Notes

Biometric sign-in is the preferred access model across student experiences, but it can be changed if the user chooses another method.

EC members are still students in the institutional register; they simply receive additional election management privileges.

Student eligibility is rule-based. If a student does not match the election criteria, that election should not appear in the student's view.
